You see, we realized that no matter how clever our technology, our computer algorithms could only make assessments and predict future human behaviour based on the accuracy of the information fed to them – they cannot pick up false information, hesitant landlord references, fraudulent documents, unusual addresses, false employers or make personality assessments based on a person’s spending patterns and behaviour – things that take experience to detect ….and that is what makes TENANTCHECK so different!


We understand that proper tenant screening takes human involvement and that no matter how hard we try; the human element just cannot be taken out of the equation. We correlate information received from multiple sources to confirm that there are no discrepancies and that the picture presented throughout the application is consistent. Any deviations need to be flagged and investigated further because one or more of the sources are then incorrect.

PRICE:

The TENANTCHECK costs R950.00 for one applicant plus R150.00 for each additional.


How do I know which applicants to TENANTCHECK?

For us to be able to provide you with a full and accurate risk assessment on any particular tenancy application, we really do need to properly screen everyone who is included in the application and who is financially active (earning money) and who you are relying on financially to contribute toward the rent –it can make all the difference between you deciding whether or not to grant the tenancy.


Some examples of who to screen:

  • A couple who can only afford the rent when their salaries are combined. (screen both)
  • A couple with adult dependants – their parents or children (screen all that are financially active)
  • A few friends moving in together (screen all)
  • When the tenant/s need a guarantor because they have bad credit/cant afford the rent.
    (screen all tenants and guarantor)

We would hate for you not to carry out checks on everyone you should because of cost which is why we offer The TENANTCHECK on additional applicants at a reduced cost of R150.00 per additional applicant. (for the same tenancy).

*Please note:


Fees apply per tenancy application i.e. only applies to applicants applying for the same property that will be jointly and severally recorded as responsible parties on the lease agreement.

For example, should a couple apply for a property (two applicants), the 1st applicant TENANTCHECK check would be R950.00 and the 2nd applicant check would be R150.00. - total costs for the two applicants would be R1100.00.

Should this application not be successful and should a new set of tenants apply for the property, the 1st applicant fee would once again be R950.00 and any additional applicants to this application would cost R150.00 per additional applicant.


IMPORTANT:

We do charge the tenants a nominal application fee of R100.00 per credit check.


TO ASSIST YOU:

We have attached the “EMAIL TO TENANT” which is an example of an email you can send to your tenant once they have indicated interest in applying for your property. It explains to the tenant what to do next and the application fee.

Once we have conducted the credit check we will forward it to the tenant which can be of great benefit to them.


WHAT HAPPENS NEXT:


• Decide which tenants you would like to run the TENANTCHECK on.

• Once you have decided, ask the prospective tenant/s for the names, contact details and email addresses of everyone that you would like to run the TENANTCHECK on. (WE SUGGEST YOU USE OUR TENANT EMAIL TEMPLATE TO GUIDE YOU)


Rule of thumb is that combined household earnings should be around about three times the rental. (though levels of indebtedness is also an important factor)

Best practice is to check everyone over 18 who will be living at the property and contributing toward the rent – in the case of couples, definitely check both!

THAT’S IT!

1. Once we have received payment, we conduct the TENANTCHECK.

2. We notify you the check has been completed and you can view, print or email all the information direct from Your login page.


We have gone to great lengths to make your TENANTCHECK as clear and easy to understand as possible, but If you would like your dedicated screening expert to speak you through our findings, please don’t hesitate to contact us. We are available for you to speak to at any time. Your screeners contact details will be on the TENANTCHECK report or use our normal contact details.


PLEASE NOTE:


Should there be any missing information on the application form, we will make a 2nd attempt to collect this information from the tenant. Should this information not be forthcoming after the 2nd attempt, it should be assumed that the tenant either does not have the information or more likely does not want to divulge it.


FREQUENTLY ASKED QUESTIONS:


  • HOW LONG WILL IT TAKE BEFORE I GET THE REPORT AND ALL THE DOCUMENTATION?

It all depends on how quickly the prospective tenant/s respond. As soon as you have given us the tenant’s contact details, the tenant will automatically be notified by sms and email, asked to complete our online application form and to submit all of the necessary documentation – all of which can be uploaded on the site. (we use electronic signatures) – as soon as we receive everything back, we will notify you to make the purchase. As soon as we receive proof of payment, we conduct the TENANTCHECK and notify you when it’s ready. – it could be done within an hour but is subject of course to the speed of the tenant’s response, the information they provide, the response or availability of the tenant’s employer or landlord and our business hours. Generally it takes around 24 hours on average to complete the process.


  • WHAT ARE YOUR BUSINESS HOURS?

Our business hours are 9am -5pm, Monday to Friday.


  • HOW WILL I KNOW IF MY TENANT HAS RESPONDED OR WHEN THE TENANTCHECK IS READY FOR ME TO VIEW?

Fear not! Communication is very important to us. We are acutely aware that you are anxious to know if you found the right tenant and have let your property out!

Our system has been purposely designed to notify you by email and sms, whenever any activity takes place on your account – any communication, payment or document upload will immediately be communicated to you so you can see exactly what is happening in real time and can check your profile instantly!

We will let you know as soon as we have contacted the tenant and we will let you know as soon as we receive anything from your tenant so you know exactly what is happening every step of the way. Please also feel free to contact us at any stage for any reason.


  • WHAT DO I DO IF THERE IS NO RESPONSE FROM MY TENANT?

As soon as you submit your tenants details, our system immediately contacts the tenant on the contact details you have provided and sends them an application form and instructions on what to submit. Our system is alerted whenever any activity takes place so we know exactly when anything is submitted and a team member immediately checks the documentation – you too are alerted.

24 hours after we contact the tenant, if we have not yet received any documentation, our system will send a reminder to the tenant that we are waiting on their response. Should we not receive any response 24 hours after that, we will notify you and suggest that you carry on looking for another tenant or you may want to contact the tenant to check if they still intend applying. If you get no response from them, they probably don’t intend to.


  • WHAT DO I DO IF THERE IS NO RESPONSE FROM MY TENANT?

As soon as you submit your tenants details, our system immediately contacts the tenant on the contact details you have provided and sends them an application form and instructions on what to submit. Our system is alerted whenever any activity takes place so we know exactly when anything is submitted and a team member immediately checks the documentation – you too are alerted.

24 hours after we contact the tenant, if we have not yet received any documentation, our system will send a reminder to the tenant that we are waiting on their response.   • WHAT IF I JUST TENANTCHECK THE MAIN BREAD WINNER BUT LATER DECIDE TO CHECK THEIR SPOUSE/CHILD/HOUSEMATE/ADDITIONAL APPLICANT AS WELL?

Don’t worry, our system can accommodate that situation. Just login, select the tenancy you want to add another applicant to, submit their details and we will take it from there.


  • WILL IT COST ME EXTRA IF I ADD AN ADDITIONAL TENANT LATER ON?

If we have not yet completed the TENANTCHECK (i.e you have not been notified that the TENANTCHECK has been completed), there is no extra cost. (for the TENANTCHECK that is, though the R150 for the additional creditcheck with doc collection is still payable as usual – we just wont charge you extra for the actual TENANTCHECK)


HOWEVER,

If the TENANTCHECK has already been completed, there will be an additional fee (we have to evaluate the new applicant and alter the TENANTCHECK to reflect their impact on our original recommendations), however we will do it at a discounted rate of R250.

Note: the addition of another applicant after the original TENANTCHECK has been completed will cost an extra R400 in total (R150 for the Creditcheck with doc collection and R250 for the additional TENANTCHECK)

  • WHAT DO YOU DO IF THERE IS MISSING DOCUMENTS OR INFORMATION FROM THE TENANT?

After our initial request for information from the tenant, should there be any missing documentation or information, we will make at least one more attempt to contact the tenant and acquire the missing information. Should the information not be forth-coming after the second attempt, we must assume the tenant does not have it or is reluctant to provide it and continue with the application on that basis.
